Qualifications

Position Overview:
NexGen Contracting is seeking a highly organized and proactive Administrative Assistant to support our Concrete Division. This position plays a critical role in coordinating administrative activities, managing high-level communication and schedules for key leadership, and contributing to strategic business operations. The Administrative Assistant will manage complex tasks that require a high degree of discretion and independent judgment, ensuring that the division's operations align with NexGen's business goals.

 

Key Responsibilities:

 

  • Collect, compile, and submit expense reports for key division leaders.
  • Assist in managing emails and calendars for key leaders, ensuring efficient scheduling and time management.
  • Coordinate and manage travel arrangements, ensuring cost-efficiency and adherence to company policies while supporting operational goals.
  • Facilitate internal and external communications, serving as a liaison between senior leadership, team members, and external stakeholders.
  • Support divisional initiatives by coordinating cross-functional projects, managing timelines, and ensuring project objectives are met.
  • Perform general administrative duties such as data entry, document preparation, and filing.
  • Serve as a point of contact for internal and external queries, providing prompt and courteous responses.
  • Support divisional projects and initiatives as required, demonstrating flexibility and a collaborative attitude.
  • Exercise discretion and judgment when handling sensitive and confidential information, contributing to the overall management and operational strategies of the division.
  • This role may require some travel for annual company event, conferences, and/or meetings (less than 5%).

 

Qualifications:

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • 2+ years of experience in an administrative support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with digital communication tools.
  • Demonstrated ability to exercise discretion and independent judgment on significant business matters.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with a commitment to accuracy and quality in all tasks.
  • Ability to work independently with minimal supervision, as well as part of a team.
  • Proven track record of supporting strategic initiatives and contributing to business operations.

  • Must frequently lift and/or move up to 25 lbs, and occasionally lift or move up to 100 lbs. Specific vision abilities include accurate near and distant vision. Frequently operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Frequently in a normal office environment where noise level is moderate, and temperature/humidity is controlled. 
  • Occasionally exposed to wet and/or humid conditions, moving mechanical parts, and outside weather conditions.
  • May be exposed to high, precarious places, fumes or airborne particles, extreme cold and/or heat, risk of electrical shock, explosives and vibrations. 
  • Noise level on the job site is normally moderate to loud. 

Supervisory Responsibilities

This position does not have direct supervisory responsibilities but may oversee the work of administrative staff or contractors on specific projects.
