The Timekeeping Administrator plays a critical role in ensuring accurate and efficient payroll and workforce management. This position is responsible for monitoring and reconciling employee time records, coordinating workforce data entry, and supporting compliance with company policies and payroll standards. The Timekeeping Administrator works closely with Human Resources, payroll teams, and employees to process timecards, update personnel records, and resolve discrepancies. In addition, the role supports payroll functions such as garnishment payments, tax filings, and reporting. Success in this position requires strong attention to detail, organizational skills, confidentiality, and the ability to collaborate effectively across teams.

 

  • High School Diploma or GED and 2 years of experience in payroll and timekeeping required.
  • Proficiency in using payroll software and Microsoft Office Suite.
  • Experience with SmartBarrel, CMiC and E-Time preferred.
  • Excellent analytical and problem-solving skills.
  • Strong attention to detail and ability to multitask.
  • Knowledge of state and federal labor laws and regulations is a plus.
  • Strong communication skills and a high degree of confidentiality.
  • Ability to prepare and write routine correspondence.
  • Ability to calculate mathematical figures such as addition, subtraction, multiplication, and division.
  • Apply concepts such as fractions, percentages, and proportions to practical situations.
  • Ability to present information and respond to questions from groups of managers, clients, customers, and co-workers.
  • Must possess strong customer service skills.
  • Ability to work in a team environment, strong team player.
  • Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists. May require assistance of Payroll and HR Manager to resolve more difficult problems

What we expect… (Essential Functions)

  • Perform a variety of timekeeping duties, including leading weekly and biweekly reconciliation of timecards.
  • Monitor clock-in/out activity for craft hourly employees.
  • Coordinate data entry for new hires, rehires, terminations, rate changes, and other HR updates to ensure timely delivery to the Gray Construction payroll team.
  • Enter and process per diem in CMiC; ensuring that amounts uploaded accurately reflect information
  • Review payroll reports for accuracy, correcting errors as needed.
  • Assist with the timely filing of payroll-related taxes.
  • Processes check adjustments and shortages
  • Verifies and enters vacation, sick, and holiday pay
  • Provide payroll support to NexGen employees and third-party craft personnel.
  • Review craft timecards for unapproved punches and resolve discrepancies with project approvers.
  • Process weekly craft payroll, including running reports, managing rate changes, and handling per diem requests.
  • Process terminations for team members in UKG Pro, ensure proper documentation and compliance with best practices, and escalate any concerns or risks to HR Manager.
  • Ensure compliance with company policies, procedures, and global standards.
  • Maintain confidentiality of payroll records and sensitive employee information.
  • Plan, organize, and execute assignments as directed.
  • Meet expectations for attendance and punctuality.
  • Processes unemployment claims, employment verifications, garnishments and child support.
  • Other duties as assigned.

Specific vision abilities required include close vision.

 

Generally, normal office environment where noise level is moderate and temperature/humidity is controlled. Overtime may be required.

 

Supervisory Responsibilities

This position has no supervisory responsibilities.
